The challenge & approach

A five-provider clinic was booking from voicemail, a paper clipboard, and a Google Calendar that front desk updated twice. No-shows sat near one in five. We shipped a HIPAA-aware intake agent on their existing calendar: patients complete forms once, insurance fields are checked, slots are offered, and SMS reminders go out 24h and 2h before the visit. Staff work a single exception queue. Implementation took four weeks including training; the practice kept a human in the loop for clinical questions the agent is not allowed to answer.
